ACCOUNTS AND ADMINISTRATIVE OFFICER

Our client, an agricultural company, is looking to hire a proactive ACCOUNTS AND ADMINISTRATIVE OFFICER to help with the operations of the company.

ROLE PROFILE

The successful candidate will be responsible for supporting the smooth operation of the financial and administrative functions of the company. He or she will be responsible for handling various accounting tasks, managing administrative duties, and ensuring the efficient flow of operations in the office.

DUTIES/RESPONSIBILITIES

  • Create vouchers for local as well as international transactions
  • Create all tax invoices for sales to customers and maintain the purchase and sale inventories.
  • Prepare purchase orders including bank and cash reconciliations.
  • Maintain the profit and loss account and balance sheet
  • Work actively on annual closing statements
  • Ensure monthly and weekly salaries of permanent staff and casual workers. The data should be shared with the Finance Manager, CEO, and CFO for their approval.
  • Ensure the regular payments and filing of all statutory returns (PAYE, SSNIT, Tier 1 & 2 and WT) if applicable as per GRA rules.
  • Make monthly VAT returns and deposit timely after taking input credit from purchase invoices.
  • Understand and maintain the record as per GIPC and Work permits of Foreign Staff with the Immigration department and annual filing of returns.
  • Create a relationship with all statutory Government departments related to the company’s operations
  • Develop a deep understanding of schemes/subsidies available in Ghana for the Agricultural Sector for farming and banking.
  • Compile daily sales reports with inventory and vans.
  • Maintain all purchase and sales invoice records along with delivery challans, field goods and vans
  • Maintain land records and ensure annual payment of land lease
  • Ensure the data of our periodic returns is communicated to key personnel in India Office (Delhi)
  • Maintain the record of suppliers and customers.
  • Ensure non-disclosure of any information about financial and other official matters with employees and outsiders.
  • Prepare all stock reports, stores inventory and approval book.
  • Ensure the issue and maintenance as well as physical verification of receipts including maintenance of MIS for all receipts
  • Ensure the maintenance of stores and warehouse
  • Ensure the inventory and planning of packing materials
  • Maintain the daily reports and be responsible for all stocks.
  • Finalize the cost of transportation charges, with reference to weight and distance from transporters and get approval from management.
  • Ensure regular maintenance of tractors, equipment and any other machinery
  • Maintain log books for all the machines and equipment
  • Ensure proper transportation of our raw materials and finished goods
  • Handle all administrative, accounts, and commercial work as assigned by the management from time to time.
  • Execute all other duties as assigned by management.

EDUCATION/EXPERIENCE

  • A minimum of an HND, BSc in Accounting & Finance or Business Administration.
  • Must have between 5-10 years of relevant work experience as an Accounts and Administrative Officer.
  • Advanced knowledge of all aspects of the SAP ERP accounting module.
  • A proven experience in handling manufacturing accounts and commercial. operations.

  • Excellent knowledge of applicable tax laws and other statutory requirements.
  • Have knowledge about the Import and Export of agriculture products and machinery used and the clearance process with the Clearing Agent.
  • Must understand tax regulations of GRA, SSNIT, GRA Customs division, EPA, FDA, and other factory compliances and registration as well as renewal.
