HR MANAGER (Manufacturing)

Our client, a leading manufacturing company is looking for an experienced individual for the role of an HR MANAGER to support the company’s operations.

ROLE PROFILE

The successful candidate will be responsible for managing the entire gamut of Human Resource functions including but not limited to recruitment, Industrial Relations & Union Management, Managing Attrition, Recruitment and Selection, Statutory compliances, exit formalities, employee relations, compensation and benefits management (including payroll), HRIS management and appropriate record keeping and employee information management.

DUTIES/ RESPONSIBILITIES

Personnel administration

  • Manage staff leave, prepares annual leave plan, monitor, and enforce implementation of leave plan.
  • Manage staff files, and ensure completion, correctness, and regular update using the approved checklist.
  • Prepare monthly human resources reports.
  • Process applications for loans, salary advances, and other benefits endorsed by the supervisor and approved by the factory manager.
  • Prepare inputs for the monthly payroll.

Time & Attendance, Payroll & Salary Administration

  • Conduct monthly payroll process in line with process and ensure relevant documentation is retained to comply and support with audit regulations.
  • Monitor and Record reporting time of employees.
  • Prepare overtime Reports & Analyses.
  • Advise on pay and other remuneration issues, including promotion and benefits
  • Co-ordinate the incentive scheme program and manage incentive scheme and communication with the employees
  • Coordinate the annual salary review process, in close collaboration with line managers and HR management; manage salary increases in line with budget guidelines
  • Perform other duties as requested by the group HR and key management stakeholders

Industrial Relations & Union Management

  • Visit the factory floor regularly and interact with workers with the view to knowing their problems, being proactive, and resolving issues that could lead to the down tool by workers.
  • Provide support for the review of CBAs by carrying out benefit surveys and participating in negotiations.
  • Interpret HR policies and labour legislation for factory managers and supervisors.
  • Ensure healthy Industrial Relations across the Unit.

 Performance Appraisal              

  • Assist unit heads in the development and setting of KRAs for staff in each unit.
  • Ensure effective and consistent performance management processes are implemented, communicated and measured across the departments
  • Provide support to managers and supervisors in the completion of performance assessment forms.
  • Proactively work with managers to identify and address individuals with performance gaps and put in place interventions to address these, ensuring approved training requirements are sourced, booked and evaluated.
  • Give input in the computation and communication of annual merit increases to employees.
  • Work with the management team to ensure that the annual performance review program is delivered on time with 100% compliance
  • Work with managers to identify outstanding performers and discuss ways in which they can be further developed and engaged.

Recruitment And Selection

  • Maintain a database of unsolicited applications from job applicants and keep track of candidates interviewed.
  • Source CVS, shortlists applicants and coordinate interviews, selection, and placement as required and undertake reference Checks for new staff.
  • Liaise without sourcing contractors for replacement or filling a new vacancy as required.
  • Prepare schedules and coordinate the orientation of newly engaged employees.
  • Maintain and monitor staffing levels developed for the factory to ensure strict compliance.

Training and Development

  • Liaise with managers and supervisors on the regular identification of training needs of employees.
  • Liaise with the Safety Manager to prepare yearly training plans for good manufacturing practices, Fire drills, and Safety committee meeting sessions.
  • Organise induction program for all categories of staff.
  • Ensure relevant training agreements/development plans are administered.
  • Develop a culture of continuous improvement through the encouragement of learning & development practices, designed to improve individual & business performance.

Health And Safety

  • Undertake regular audits of the factory to ensure that health and safety standards and regulations are adhered to.
  • Maintain contact with employment agencies, Labour unions, training service providers and security agencies.
  • Maintain a record of all accidents and conducts investigations into accidents and submit reports on causes and preventive measures to factory management and Group HR manager.
  • Responsible for general cleanliness & housekeeping of the factory and surrounding areas.

Internal & External Communication and Relations

  • Maintain contact with employment agencies, Labour unions, training service providers and security agencies.
  • Ensures All machinery is well maintained and utilized as per the set standards.
  • Responsible for Manpower Planning & Budgeting as per the agreed cost and productivity norms.
  • Ensure Inter-departmental workflow is smooth and well-coordinated.

STATUTORY COMPLIANCE

  • Advising and coaching line managers on all operational employee relations issues such as absence management, disciplinary, grievance, and employment legislation and participating in such meetings as necessary
  • Ensure 100% adherence to statutory compliances.
  • Handle the Government & local authorities.
  • Keep track of the application of various licenses & renewals for all the units and maintain good PR with all agencies.
  • Upkeep individual employee files and HR database
  • Ensure all HR-related policies and processes are maintained and compliant with the most recent legislation.

Employee Relations

  • Serve as a liaison between employees and line managers to actively build engagement to resolve disputes
  • Work collaboratively with employees to build an effective employee relations culture with actions to minimize absenteeism, regretted attrition, and formal disputes
  • Ensure that all legislation locally within SU is updated regularly and adhered to

EDUCATION AND EXPERIENCE

  • Degree in human resource management or equivalent professional qualification
  • At least 5-6 years of professional experience in the manufacturing industry.

REQUIREMENTS

  • Should have independently handled/managed 250 – 300 people Organization.
  • Excellent knowledge of the Company’s HR Policies and implementation. Good knowledge of Ghana labour laws.
  • Good organizational skills with the ability to prioritize workloads and manage time successfully.
  • Excellent experience in MS Excel (Pivot table, VLOOKUP, Application of various formulas, preparing HRIS)
  • Should have sound experience in managing Audits – both Internal & External Audits
  • Should have handled at least 3 audits independently in past experiences
  • Should be able to provide required data to facilitate the completion of audits
  • Should be able to close audit remarks and gaps as identified as part of the auditing process.
  • Excellent analytical skills with the ability to interpret data
  • Strong interpersonal and communication skills; experience in effectively communicating key data, including presentations to senior management
  • Demonstrated ability to work effectively independently and in a team environment.
  • Time management and organisational skills in managing multiple priorities and projects.
  • High standard of professional and personal business conduct/presentation
  • Proactive, proven initiative and deadline-driven
  • Strong interpersonal skills to foster relationships
